Cancellation and Refund Policy
This policy outlines the terms and conditions for the cancellation of a confirmed trip booking and the corresponding refund schedule. All cancellations must be submitted in writing.
1. Basis for Cancellation
The applicable refund amount is strictly determined by the time elapsed between **the date Olixora Travels receives the cancellation request** and **the original trip start date**, irrespective of any later changes to the booking.
2. Refund Schedule and Deductions
The following table details the percentage of the **Total Cost** that will be deducted based on the timing of your cancellation:
Deduction Schedule
| Cancellation Timeline (Before Trip Start Date) | Deduction from Total Cost | Refund Amount |
|---|---|---|
| **30 Days or More** | 1.99% (Payment Processing Fee Only) | Full Refund less 1.99% |
| 15 to 29 Days | 20% | 80% Refund |
| 10 to 14 Days | 40% | 60% Refund |
| 5 to 9 Days | 60% | 40% Refund |
| **4 Days or Less** | 100% | 0% (Non-refundable) |
3. Refund Processing
Details on how and when your refund will be finalized.
- **Processing Time:** Once a refund is approved by our team, the amount will be processed and credited to your original payment method within **7 business days**.
- **Fee Clarity:** The **1.99% deduction** for cancellations made 30 days or more in advance covers non-recoverable payment processing and gateway fees.
- **Basis:** The refund percentage is applied to the **Total Cost** paid at the time of booking.
- **No Partial Refunds:** No partial refunds are provided for late arrivals, early departures, or non-utilization of services included in the booking.
4. Policy Exceptions
This policy is strictly enforced to maintain operational viability for our trips.
No Adjustments for Circumstances
No exceptions or adjustments to the deduction schedule will be made for cancellation reasons, including but not limited to: **medical emergencies, transportation delays, or force majeure events**.
We highly recommend that clients secure **comprehensive travel insurance** to cover unforeseen circumstances that may necessitate a late cancellation.
